Email address — collected when you sign up or sign in using our magic link authentication system.
Conversation content — the questions you ask and documents you submit through the platform are stored to maintain your conversation history and improve your experience.
Documents you upload — files you submit for review (PDFs, Word documents) are processed to provide guidance and are stored securely in your account.
HR 911 intake form submissions — name, company, phone number, email, and situation description when you request a direct consultation.
Information Collected Automatically
Usage data — message count, document generation count, and estimated savings data used to display your personal savings counter.
Technical data — browser type, device type, and general location data collected by our hosting provider (Netlify) for security and performance purposes.
Cookies — our platform may use cookies or similar technologies for session management and basic analytics. You can disable cookies in your browser settings, though this may affect functionality.
Payment Information
We do not collect or store your payment card information. All payment processing is handled by Stripe, Inc., a PCI-compliant payment processor. Please review Stripe's Privacy Policy for details on how they handle your payment data.
4. How We Use Your Information
To provide and operate the YourHRCoach.ai platform and respond to your HR questions.
To send you magic link authentication emails and account-related communications.
To send transactional emails including subscription confirmations and billing receipts.
To maintain your conversation history and personal savings counter.
To process payments and manage your subscription through Stripe.
To respond to HR 911 consultation requests submitted through the platform.
To monitor platform performance, security, and prevent abuse.
To comply with applicable laws and legal obligations.
5. How We Share Your Information
We do not sell your personal information to third parties. We may share your information with the following service providers, solely to operate the platform:
Anthropic, Inc. — your conversation content is processed through Anthropic's Claude AI API to generate HR guidance. Anthropic processes this data in accordance with their Privacy Policy.
Supabase, Inc. — your account data, conversation history, and usage data are stored in our Supabase database.
Netlify, Inc. — our platform is hosted on Netlify, which may collect technical and usage data as part of its hosting services.
Stripe, Inc. — payment processing and subscription management.
Resend, Inc. — transactional email delivery.
We may disclose your information if required to do so by law, court order, or government authority, or to protect the rights, property, or safety of HR Solutions On Call, LLC or others.
6. Data Retention
We retain your account data and conversation history for as long as your account remains active. If you cancel your subscription or request account deletion, we will delete your personal data within 30 days, except where we are required by law to retain it longer.

We take reasonable technical and organizational measures to protect your personal information from unauthorized access, loss, or misuse. These measures include encrypted data transmission (HTTPS), secure database storage, and access controls. However, no system is completely secure, and we cannot guarantee the absolute security of your data.
